Privacy comes first
- We don’t sell your personal information or share it for targeted advertising.
- We don’t show ads.
- We don’t use analytics or tracking that follows you across other apps or websites.
- We don’t use your schedules or calendars to train AI models.
- We don’t read the other events already on your calendar.
The short version
- CalDone turns a schedule you photograph, upload or paste into events on the calendar you already use.
- There’s no account to create. CalDone uses a random installation ID, not your name or email address.
- Google Gemini reads your schedule to find the events. We don’t keep your photos, PDF pages or pasted text, and the list of events is deleted from our server within 15 minutes.
- Your calendar connection stays on your phone. CalDone adds only the events you choose, and Undo removes them.
- Sharing is optional. Shared schedules are deleted from our server within 30 days after the link ends.
- You can delete your CalDone data at any time. A limited phone record showing that the phone has used its free schedules remains so the free limit cannot be reset by deleting or reinstalling the app.
The rest of this policy explains each point in full.
Who we are
CalDone™ is a product of Wilson Partners, LLC, 12216 Wedd St, Overland Park, KS 66213, United States (“we”, “us”). Questions about privacy go to privacy@caldone.app.
Who CalDone is for
CalDone is for adults 18 and older in the United States. Parents and other adults often add schedules that mention children, such as a child’s name, team or school. That information is part of the adult’s schedule; it does not make the child a CalDone user. CalDone is not directed to children, and we do not knowingly allow children under 13 to use it. If we learn that a child under 13 has used CalDone and given us personal information, we will delete that information.
Please add only schedules you have the right to use.
No account, just a random installation ID
You don’t create a username or password. When you first open CalDone, it creates a random ID for that installation. We use it to keep track of your free schedules, any complimentary access or subscription, and any schedules you share. It is not linked to your name or email address. A short form of it, your CalDone ID, is shown in the app at Step 1 → Privacy & data so you can quote it if you contact us. If you delete and reinstall CalDone, it starts again with a new installation ID, but your phone’s free-schedule record stays as described below.
When you first open CalDone and tap Agree and continue, we record which version of the Terms of Use and this Privacy Policy you accepted, and when.
Free schedules and your phone
To make sure each phone gets its free schedules only once, CalDone records which phones have used them. On iPhone, we use Apple’s DeviceCheck service, which lets us mark a phone on Apple’s side without learning who you are. On Android, we keep a non-reversible, scrambled code made from an app-specific ID that Android gives CalDone for your phone. Either way, we keep only that mark or code and how many free schedules the phone has used, with no name, contact details or schedule contents attached to it.
This limited record stays even after you delete your CalDone data or reinstall the app, so the free limit is not reset. We use it only to enforce the one-time free-schedule limit, protect the service and prevent abuse. It cannot be used to recreate your deleted schedule contents. Where applicable law gives you a deletion right, we retain this limited record only to the extent that law permits. If CalDone cannot check your phone, it cannot give free schedules on that phone, but a complimentary access code or subscription still works.
Schedules you give CalDone
You can add a schedule as one or more photos from your camera or photo library, as a PDF (your phone turns its pages into images before sending them), or as pasted text. CalDone sends it to our server over an encrypted connection (HTTPS).
How it’s read. Our server sends the schedule to Google Gemini, an AI service from Google, which finds the events in it. Gemini is the only AI service CalDone uses. Before CalDone reads your first schedule, it tells you that schedules are sent to Google Gemini and asks your permission. You then review the events, answer any questions CalDone asks, and choose which ones to add.
What we keep. We do not store your photos, PDF pages or pasted text. The list of events Gemini finds is held on our server for up to 15 minutes so your phone can collect it, even if you switch apps. Your phone deletes it from the temporary server queue as soon as it has collected it, and anything left over is deleted automatically within 15 minutes.
What Google does with it. We use Google’s paid Gemini API service with optional request storage turned off for CalDone. Under Google’s paid-service terms, Google does not use CalDone’s prompts or Gemini responses to improve its products. Google may retain data for a limited period for abuse monitoring, security or legal obligations under its terms.
What we keep on our servers
| Information | Why we keep it | How long |
|---|---|---|
| Random installation ID | Recognize your CalDone installation and connect the records below | Until you delete your CalDone data |
| Usage records (no schedule contents) | Apply daily or service limits, prevent abuse and control costs | Until you delete your CalDone data |
| Phone free-schedule record (Android scrambled code and count; iPhone DeviceCheck mark) | Give each phone its free schedules only once | Kept after deletion or reinstall so the free limit is not reset |
| Access-code records (a scrambled form of the code, never the code itself) | Give complimentary access | Until you delete your CalDone data; a code’s use may then be kept only as a non-identifying count so code limits keep working |
| Subscription status | Know whether you have paid access | Until you delete your CalDone data; app stores and our subscription provider keep their own purchase records |
| Agreement record (versions accepted and when) | Show which Terms of Use and Privacy Policy you accepted | Until you delete your CalDone data, except where a longer period is reasonably necessary for a legal dispute or required by law |
| Events found in a schedule | Let your phone collect the result | Up to 15 minutes |
| Shared schedules (only if you tap Share) | Let people with your link add the events | See “Sharing a schedule” below |
| Technical request logs | Run, secure and fix the service | 30 days |
Server logs. Our logs record short technical details about each request: the time, the type of request (with links and personal values removed), whether it worked and how long it took. They do not include your schedule’s contents or your IP address. Our hosting provider sees your device’s IP address in order to deliver requests, as any web host does.
What stays on your phone
- Recent Imports: a list of schedules you added, with a copy of the events CalDone added for each one, so you can look back, use Undo, share a schedule later or add it again. The copy is deleted when you remove the schedule from the list, when you delete your CalDone data, or automatically 30 days after the schedule’s last event.
- Your shared links: so CalDone can show you the same link if you share the same schedule again.
- Calendar connections: the sign-in tokens that let CalDone add events to Google Calendar or Outlook, kept in your phone’s secure storage.
We don’t receive copies of these phone-only items, except the events of a schedule you choose to share. Deleting CalDone removes them from your phone, subject to your phone’s own backup settings. Deleting the app does not delete information already held on our servers or cancel a subscription; see “Deleting your data.”
Your calendar
CalDone connects to a calendar only when you choose to. It adds the events you choose to the calendar you pick, and removes them again if you use Undo. Events sent to Google Calendar or Microsoft Outlook go straight from your phone to that provider; they do not pass through CalDone’s server. CalDone does not read your other calendar events and never uses calendar information for advertising or AI training.
| Calendar | Permission asked | What CalDone uses it for |
|---|---|---|
| Google Calendar | Create, change and delete events; see your list of calendars | Add your chosen events and remove them with Undo; let you pick a calendar; use a calendar’s time zone when a schedule does not state one |
| Outlook (Microsoft) | Read and write calendars; read mailbox settings; basic profile; stay signed in | Add your chosen events and remove them with Undo; use your time-zone setting; sign in and keep the connection working |
| Apple Calendar (iPhone) | Access to the calendars on your iPhone | Add your chosen events and remove them with Undo |
You can disconnect CalDone at any time in your Google or Microsoft account settings, or in your iPhone’s Settings.
Google user data. CalDone’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
Sharing a schedule
Sharing is optional. It happens only when you tap Share this schedule, after adding events or later from Recent Imports.
What’s shared. The events you added: each event’s title, date, start and end time, time zone, whether it is all day, location, status, notes and group labels. We don’t attach your name or email address. Event titles, notes and locations may themselves contain names, such as your child’s or team’s name. Anything you personalized in Step 3 is not shared, and your photos, PDF pages and pasted text are never shared.
Who can see it. Anyone who has the link or QR code. On the web, the link shows only how many events there are, their dates and how long the link lasts. In the CalDone app, the person can see the events, add them to their own calendar and share them onward. Links are not listed anywhere and are hidden from search engines.
How long it lasts. A link works until 30 days after the schedule’s last event or 12 months after you shared it, whichever comes first; the app shows the date. You can end it sooner with Turn off sharing, and deleting your CalDone data turns off all your links. Undo removes the events from your calendar but does not turn off that schedule’s shared link; the link keeps working until you use Turn off sharing, it expires, or you delete your CalDone data.
Deletion. If you delete your CalDone data, shared schedules are deleted as part of that request. Otherwise, after a shared link expires or is turned off, we delete that shared schedule from our servers within 30 days. Events other people already added stay in their calendars; we cannot remove them.
Companies that help us run CalDone
We give each company only what it needs for its job:
- Google: Gemini reads schedules; Google Calendar, if you connect it; Google Play distributes the Android app and handles Android subscriptions.
- Microsoft: Outlook Calendar, if you connect it.
- Apple: distributes the iPhone app, handles iPhone subscriptions, provides DeviceCheck for the phone free-schedule record, and provides Apple Calendar on your iPhone.
- Service providers that host our server and database, deliver app updates, keep subscription status in sync with the app stores using your random installation ID, and run our domain and email.
Each provider handles information under its own terms or its agreement with us. We require providers handling CalDone information for us to protect it at least as well as this policy requires and to use it only for the services they provide to CalDone.
We may also share information when the law requires it, to protect people’s safety or our rights, to investigate abuse or security problems, or as part of a sale or merger of the business. If the business changes hands, information remains subject to the privacy commitments that apply to it unless users are notified of a lawful change.
Deleting your data
In the app. Go to Step 1 → Privacy & data → Delete my shared schedules and data. This turns off your shared links and deletes from our servers your shared schedules, any leftover event lists, your usage records, any complimentary access or CalDone subscription-status record, your agreement record and your random installation ID. On your phone it clears Recent Imports, saved links and calendar connections, then CalDone starts fresh. Your phone’s free-schedule record is kept as described in “Free schedules and your phone.”
Without the app. Visit caldone.app/delete-account or email privacy@caldone.app with your CalDone ID. Because CalDone does not know your name or email address, we cannot find your CalDone data without that ID. We complete verified deletion requests within 30 days.
What deletion doesn’t do. It does not remove events already in your calendar (use Undo first, or delete them in your calendar), it does not cancel a subscription, and afterwards Undo is no longer possible. Your phone’s free-schedule limit record remains. The in-app deletion screen explains this before you confirm deletion.
Changing your mind. You can withdraw permission at any time by disconnecting a calendar, turning off a shared link, deleting your CalDone data, or uninstalling CalDone. Uninstalling by itself does not delete server-side data or cancel a subscription.
What we may keep. A code’s use as a non-identifying count, your phone’s free-schedule record, information the law requires us to keep, and the minimum information reasonably needed for security, fraud or abuse prevention, or a legal dispute. The app stores and our subscription provider keep their own purchase records. Server logs expire after 30 days.
Your privacy rights
Depending on the state you live in and whether a particular state privacy law applies to CalDone, you may have rights to know, access, correct or delete personal information, or to opt out of certain uses. We don’t sell personal information, use it for targeted advertising, or use it for profiling that produces legal or similarly significant decisions. To make a privacy request, email privacy@caldone.app with your CalDone ID. We will verify the request and respond as applicable law requires. If applicable law gives you a right to appeal a privacy-request decision, you may appeal by replying to our response or emailing privacy@caldone.app with “Privacy appeal” in the subject line.
Security
We use encryption in transit (HTTPS), restrict access to our systems, and aim to keep only the information CalDone needs for the purposes described here. No system is perfectly secure. If a security breach affects information that requires notice under applicable law, we will provide the required notice.
Changes to this policy
If we make an important change to how CalDone handles information, we will update the effective date, tell you in the app before the change takes effect, and ask you to acknowledge the updated Privacy Policy. If the change also affects the Terms of Use, we will ask you to agree to the updated Terms again before continuing to use CalDone. Smaller changes, such as clearer wording or updated contact details, may take effect when posted.
